In-House vs. Outside A/V

 

When it comes to the technical aspect of your meeting, you have 2 basic choices - go with the in-house audiovisual company or use an outside company. It is always to your advantage to use the in-house company for a number of reasons. While an outside vendor may seem less expensive, they are often not such a great deal when additional equipment is needed or something goes wrong with the equipment you have. The primary reasons I recommend using the in-house provider are:

 

· A vested interest in insuring your meeting is a success. If the in-house audiovisual provider didn’t provide you with the same service standard of the hotel, they wouldn’t be there long.

· Less traveled equipment. Audiovisual equipment isn’t designed to sit in a hot car and be bounced around like a box of jumping beans. Even with a heavy protective case over time travel could damage equipment.

· On site equipment and service. Most hotels require an audiovisual technician be on site through out the meeting, if any thing did go wrong it’s a mater of minutes to get back up and running, not an hour plus.

· Appearance standards. In-house audiovisual companies usually use the same appearance standards as the hotel. The technician will look more like a business professional than a roadie from a Grateful Dead concert. The equipment set up standards is also usually higher. Skirted screens and carts are the norm for in-house companies, providing a visual pleasing look to the room set up. A neat room set will tell your participants you are organized, detail oriented and that you care.

 

You may save a little money using an outside audiovisual company, but you get what you pay for. If you are considering using an outside audiovisual company always get estimates from both the in-house and the outside companies and compare them line by line. Watch out for delivery and set up fees that do not appear on the outside audiovisual providers bill.
